Automated Monitoring & Scheduling

  • Provides organisations with continuous visibility into active repositories.
  • Easily configured to monitor designated ingestion points, such as Network file shares, Email servers or Supported EDRMS platforms.
  • Monitors for newly added or updated documents, ensuring no file goes unnoticed.
  • Offers flexible scheduling options: scans can be performed at designated times or custom intervals.

Smart Document Searches

  • Works in tandem with EzeScan's Remote Indexing Assistant (RIA) to enable intelligent, targeted document searches across your organisation’s repositories.
  • RIA can be configured with specific identifiers to locate certain file types and search for documents containing sensitive or critical information, including personally identifiable information (PII) and credit card numbers (PCI).
  • Once identified, documents can be assigned custom metadata tags to classify and organise them within the repository.

Automated Workflows

  • Identified documents can be automatically routed into the appropriate document processing workflows for further action.
  • Possible workflows include review, approval, classification, redaction, file conversion, OCR, duplicate check or integration into an EDRMS.
  • Delete, replace or save new versions of files to designated locations.
  • Where documents have been deleted, DRA can insert document stubs with reason codes or document links to redacted controlled document locations.

Monitoring Dashboard

  • The DRA dashboard displays document counts across all repositories and their progression through configured workflows.
  • Provides visual breakdowns of document volumes at each processing stage, such as imported and completed, along with volumes grouped by configured document tags.
  • Displays an activity graph showing the number of documents discovered compared to those processed.
