Challenge:
Whitsunday Regional Council needed a solution to manage incoming physical and electronic mail and registering outgoing mail such as dog licenses and accommodation licenses.
Solution:
The council implemented an EzeScan Capture Solution to manage incoming and outgoing mail digitisation into their Technology One ECM platform. EzeScan automatically populates fields with data extracted from the council’s TechnologyOne ECM platform and EzeScan specifically designed spreadsheets. EzeScan then automatically applies the required indexing profile set before registering the document in ECM. EzeScan also provides automated redaction of credit card numbers from hardcopy or email documents.
Results:
The council has had drastic time savings when registering documents by drawing down properties from the councils systems and OCRing customer or licence numbers. With the help of EzeScan, the council’s registration of property transfers and title changes has been cut down from over an hour to just 15 minutes.
